Using this website
This is a static website hosted by Hostinger. The page’s own code does not set cookies, use browser storage or contain analytics scripts, advertising trackers or a contact-submission form. Choosing a demonstration topic opens your email application with a suggested message. The page does not send that message or receive what you type in your email application. Copying our email address uses your browser’s clipboard feature.
Hosting infrastructure processes technical information needed to deliver and secure the website, such as your IP address and request details. Technical access or error logs may also be used for security and troubleshooting. Our legitimate interest is operating a reliable, secure website. Your email provider separately handles messages you choose to send.
Information about business contacts
If you contact us, we use the contact details, organisation, role and information you choose to provide, together with our correspondence and enquiry notes. Please do not send tenant records or other sensitive personal information in an initial enquiry.
For relevant professional contacts, we may also use names, job titles, organisations, published work contact details and professional information from organisation websites, public reports, professional directories, introductions or previous correspondence. We maintain an Excel contact tracker recording names, professional roles, work email addresses, organisations, source and verification information, contact history, responses, next actions and contact preferences. Our records distinguish verified addresses from unverified ones and record when outreach should be paused or stopped. Where information comes from elsewhere, we identify the relevant source when providing the required privacy information, including with our first communication where applicable.
Why we use information
We use this information to respond to enquiries, understand professional needs, discuss potential working relationships and administer correspondence. For these activities and proportionate professional-contact research, our lawful basis is legitimate interests: developing Assetyx and assessing its relevance to an organisation, balanced against individuals’ rights and reasonable expectations.
Where applicable marketing rules permit, we may send individually relevant information about Assetyx. Where consent is required, we obtain it first. Consent can be withdrawn at any time without affecting earlier lawful processing. We may also need to retain particular information to meet legal obligations or establish, exercise or defend legal claims.
Providing enquiry details is voluntary, but we may not be able to respond without sufficient information.
Your choice about marketing
You can object to use of your information for direct marketing at any time, without giving a reason. Reply to our message or email alan.wallace@assetyx.co.uk asking us to stop. We will stop using your information for that purpose and keep only the minimum details needed to honour your objection and meet other lawful requirements.
Service providers and AI assistance
We use Hostinger for website hosting and email. We use OpenAI’s ChatGPT services to assist with professional-contact research, preparing correspondence and creating or updating our Excel contact tracker. Names, professional roles, work email addresses, relevant correspondence and contact records may therefore be processed in ChatGPT through prompts, uploaded files or connected services. Keeping records in Excel does not mean that those records are processed only on a local computer. Authorised people administering Assetyx may access relevant information. Professional advisers or public authorities may receive information when necessary for advice, legal obligations or legal claims.
AI assistance supports research and administration. We check relevant outputs and remain responsible for decisions about contacting people. We do not make decisions producing legal or similarly significant effects on individuals solely by automated processing in this workflow. This notice does not describe how a customer’s housing or tenant data would be processed by the Assetyx product. OpenAI’s use and retention of information depend on the service terms and account settings; see its Europe privacy policy.
International processing
Our providers and their service providers may process information outside the UK, including in the European Economic Area and the United States. Information is not necessarily stored or accessed only in the UK.
Hostinger’s Data Processing Addendum provides for EU Standard Contractual Clauses and the UK International Data Transfer Addendum for relevant transfers where required. OpenAI’s Europe privacy policy describes reliance on adequacy decisions or regulations and, for other destinations, Standard Contractual Clauses and the UK Addendum. The mechanism applicable to a particular transfer depends on the destination and service arrangements.
Contact alan.wallace@assetyx.co.uk for information about the safeguards relevant to your information or how to obtain a copy. OpenAI also accepts safeguard requests at privacy@openai.com.
How long we keep information
We assess retention by considering whether an enquiry remains open, whether a contact’s role and information remain relevant, the time since meaningful two-way contact, and any legal requirement or genuine dispute. We delete information when it is no longer needed for those purposes. Sending an unanswered promotional message does not, by itself, justify keeping a prospect record longer.
We retain minimum contact-preference details where needed to honour an objection to marketing. Information required for a legal obligation or claim is retained only for the applicable justified period. When addressing deletion, we consider copies in email, the contact tracker and AI-assisted work. Provider backup, security and legal-retention arrangements can mean some copies remain for a further limited period under the provider’s terms.
Your rights and complaints
Depending on the circumstances, you may ask to access, correct, delete or restrict use of your information, object to processing based on legitimate interests, or request portability of information processed automatically on the basis of consent or contract. Your right to object to direct marketing is unconditional.
Contact Alan Wallace at alan.wallace@assetyx.co.uk. We may request proportionate information to verify your identity and will respond within the applicable legal deadline.
You may complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint without first contacting us. Rights to complain to another competent supervisory authority, where applicable, are unaffected.
Scope and changes
This notice covers this website and our business-contact activities. It does not cover personal information within customers’ housing portfolios, tenant records or use of a future Assetyx product, which require appropriate separate information and arrangements.
We will update this notice when relevant practices change and show the updated date above.
